Terms & Conditions

The terms governing access to and use of the SchoolOval platform.

Last updated: 14 October 2026

1. Who we are and what these terms cover

SchoolOval is a school management web application at https://school-oval.com, including its school portals. It is a product of Gazelle Web-Tech LTD, the company that publishes and operates it.

In these Terms and Conditions ("Terms"), "we", "us", and "our" mean Gazelle Web-Tech LTD. "SchoolOval" means our software and related services. "You" and "your" mean the person using SchoolOval or, where you are authorised to act for a school, that school. A "school" includes an educational organisation that uses the service.

These Terms apply to website visitors, school administrators, staff, parents, guardians, and other authorised users. Please read them before creating an account or using the service. By accepting these Terms during registration, or using the service after receiving notice of them, you agree to follow them. If you do not agree, do not create an account or continue using the service.

A separate written agreement with a school may set out additional terms. If there is a conflict, that agreement takes priority for the matters it specifically covers. Our Privacy Policy explains how personal information is handled; accepting these Terms does not replace any consent required by law.

2. Accounts and access

You must be at least 18 and legally able to enter an agreement to register a school or create an independent administrator, staff, parent, or guardian account. You must have authority to accept these Terms on a school's behalf. Children must not create independent accounts under these Terms.

Provide accurate account details and keep them up to date. Keep passwords and verification codes private. Use your own authorised account, and tell your school administrator or us promptly if you suspect unauthorised access.

Schools are responsible for assigning suitable access to their users and removing access when it is no longer needed. Users must only access records they are authorised to see. A school may withdraw a user's access when their relationship with the school ends.

3. Using SchoolOval responsibly

SchoolOval provides tools for activities such as admissions, student records, attendance, academics, fees, communication, staff administration, and inventory. Available features depend on the school's configuration and service agreement.

You must not:

  • Access another person's account or another school's records without permission.
  • Upload unlawful, misleading, abusive, or infringing material.
  • Harass others, send spam, or misuse contact details obtained through the service.
  • Introduce malware, interfere with the service, or bypass access controls.
  • Copy, extract, or share personal information without a lawful reason and proper authority.
  • Use SchoolOval for fraud or any other unlawful purpose.

Schools remain responsible for admissions, grades, promotions, employment, fees, refunds, and safeguarding decisions. Review records, calculations, and reports before relying on them. Attendance and pickup tools support school procedures; staff must still verify identities, supervise children, and follow safeguarding requirements.

4. Subscriptions, school fees, and payments

Payments to us: Any subscription price, billing period, taxes, payment charges, renewal arrangement, and cancellation or refund terms must be disclosed in the school's order, invoice, or service agreement before purchase. A free trial or discount applies only when expressly offered. These Terms alone do not authorise automatic renewal or recurring charges. Any recurring billing requires the payer's agreement to the relevant billing terms.

We will give advance notice of changes to our charges. Price changes apply from the next agreed billing period or as otherwise agreed with the school, subject to applicable law. We will not apply a new price retrospectively to a period already paid for.

Payments to a school: A school sets its own tuition, admission, and other charges. The school is responsible for explaining those charges and its refund rules. Paying an application fee does not guarantee admission. Send questions about school charges or refunds to the school first. We can assist with technical payment enquiries.

Online payments are handled through third-party payment providers. Available methods, processing times, and charges may vary. A bank or provider may require its own verification or terms. Check the amount, recipient, and transaction status before paying again after an error. Keep your payment reference and receipt.

Any cancellation or refund arrangement must respect rights that cannot be excluded by law. If the relevant commercial terms were not supplied, contact us for written clarification before buying; these Terms do not impose a blanket no-refund rule.

5. School records and personal information

Schools and other rights holders retain their rights in the records and content they provide. We do not acquire ownership of school records by hosting them. You give us the limited permission needed to store, process, display, and transmit that content to provide the service, follow lawful instructions, and meet legal obligations.

Schools are responsible for having a lawful reason to collect and use the information they upload, providing appropriate privacy notices, and obtaining consent where required. This is especially important for children's information, health records, photographs, and family details. Only upload information that is relevant to the school's legitimate needs.

We handle personal information as explained in our Privacy Policy and any applicable data processing agreement. A school using SchoolOval to manage personal records should agree the necessary data processing terms with us, including instructions, service providers, security, incident handling, and return or deletion of data.

Do not publish sensitive records or share downloads and document links with unauthorised people. Tell your school or us if information appears inaccurate or has been disclosed to the wrong person.

6. Software ownership and outside services

Gazelle Web-Tech LTD and its licensors retain the rights in SchoolOval's software, design, branding, and documentation. During your authorised use, you may access the service for its intended purpose, subject to these Terms and your school's agreement.

You must not sell, sublicense, or copy the software, remove ownership notices, or reverse engineer it except where applicable law permits. Your school retains its rights in its own name, logo, and content.

Third-party websites and services have their own terms and privacy notices. We are responsible for our own obligations when integrating services, but do not control the independent operation of a bank, payment provider, or external website.

7. Cancellation, suspension, and leaving the service

A school may request cancellation by contacting us. The effective date, any notice period, and the treatment of prepaid fees depend on its disclosed service agreement and applicable law. Parents and staff should contact their school to close school-managed accounts or correct access.

We may restrict or suspend access where reasonably necessary to address a security risk, unlawful use, a serious breach of these Terms, or overdue undisputed charges. Where practical, we will explain the reason and give an opportunity to resolve it. Immediate action may be necessary to protect people, data, or the service, or to follow the law. Restrictions should be proportionate to the issue.

Before a school's service ends, it should contact us to arrange an authorised return or export of its records. The format, availability period, deletion timetable, and any agreed assistance charges should be documented in the school's service or data processing agreement. Do not assume records remain available indefinitely after closure.

Data that must be kept for legal obligations, disputes, or security purposes may be retained for those limited purposes. Closing an account does not cancel outstanding lawful payment obligations or remove rights that already arose.

8. Availability and responsibility for loss

We will provide the service with reasonable care and skill. Maintenance, internet problems, third-party outages, and other events may interrupt access. Any specific uptime or support commitment must be set out in a written service agreement.

We do not promise that the service will always be uninterrupted or free from errors, or that it will achieve a particular financial or educational outcome. We will address reported faults within our contractual and legal obligations.

Each party is responsible for loss caused by its own breach of these Terms, negligence, or unlawful conduct, as determined under applicable law and any valid written agreement. We are not responsible for a school's independent academic, employment, fee, or safeguarding decisions, but remain responsible for our own conduct.

Nothing in these Terms excludes liability for fraud, deliberate wrongdoing, or any responsibility or consumer or data protection right that cannot lawfully be limited. No separate financial liability cap is created by these Terms.

9. Governing law and resolving concerns

These Terms are governed by the laws of the Federal Republic of Nigeria, subject to any mandatory rights or laws that apply to you elsewhere.

Please contact us first so we can try to resolve a concern. If it cannot be resolved, the courts with lawful jurisdiction in Nigeria may hear the dispute. This does not prevent you from approaching a regulator or using another remedy or court available under mandatory law. These Terms do not require private arbitration.

10. Changes to these Terms

We may update these Terms when the service or legal requirements change. We will publish the revised version and its effective date. For changes that materially affect existing users, we will provide reasonable advance notice through the service or an account contact, unless an urgent legal or security reason requires earlier action.

Where the law requires renewed acceptance, we will ask for it. If you do not accept a material change, contact us before it takes effect to discuss ending the service under your agreement and applicable law. Changes do not remove rights that arose before they took effect.
